Click on <strong>WooCommerce <\/strong>\u2192 <strong>Orders<\/strong><\/p>\n\n\n\n<p>2. Use this to send your client a custom payment link. Once you click this button, the horizontal menu changes back to its initial state.<\/p>\n\n\n\n<p class=\"alert-green\"><strong><em>Note:<\/em><\/strong><em> The <\/em><strong><em>Save<\/em><\/strong><em> button confirms the changes to the cart items only. Refreshing or navigating away from the page will discard any changes made to the order until you press the <\/em><strong><em>Create<\/em><\/strong><em> button in the <\/em><strong><em>Order Actions<\/em><\/strong><em> box on the top-right of the page.<\/em><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Apply coupon<\/strong><br>Launches a pop-up with a text field. Otherwise, your customer will receive a receipt for their order and no email with download links.&nbsp;<\/em><br><em>Use this field to specify the products that should include a download link. The product must be both <\/em><strong><em>Virtual <\/em><\/strong><em>and <\/em><strong><em>Downloadable<\/em><\/strong><em>. The link is sent out once the order\u2019s status changes to Completed.<\/em><\/p>\n\n\n\n<p>You can add a downloadable product only after you have created the order with the <strong>Create<\/strong> button.<\/p>\n\n\n\n<p>Here are the steps:<\/p>\n\n\n\n<p>1. Enter <strong>three or more characters <\/strong>into the text field to load suggestions for the downloadable product in question.<\/p>\n\n\n\n<p>2. Click the <strong>Grant Access<\/strong> button. Keep in mind that download access is granted on a <em>per-user basis<\/em>.<\/p>\n\n\n\n<p>3. Set a numerical value in <strong>Downloads Remaining<\/strong> for the total number of downloads allowed before the link expires.<\/p>\n\n\n\n<p>5. Click on <strong>Access Expires<\/strong> to launch the date-picker and set an expiration time of the download link. By default, this is set at 24 hours.<\/p>\n\n\n\n<p>6. You can expand and collapse entries in the <strong>Downloadable Product Permissions <\/strong>box by clicking on the row with the name of the entry. You can paste it in an email, instant messages, or any electronic medium.<\/li>\n\n\n\n<li><strong>View report<\/strong> &#8211; Redirects you to <em>WooCommerce \u2192 Reports<\/em> displaying a report for the interactions with the corresponding downloadable product permissions. Report displays: <em>timestamp<\/em>, <em>product<\/em>, <em>file<\/em>, <em>order<\/em>, <em>user,<\/em> and <em>IP address<\/em>. Do this by clicking the <strong>\u201cCustomer payment page \u2192\u201d <\/strong>link located on the top-right of the<strong> Edit Order <\/strong>screen.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Order IDs<\/strong><\/h2>\n\n\n\n<p>By default, orders are not sequential. Suppose you create <em>Order #20<\/em> and delete it \u2014 that ID will remain free for the next order to take it. WooCommerce assigns <strong>the first available ID for each new order.<\/strong> That excludes IDs utilized by Posts, Pages, Products.<br>If you prefer having sequential orders \u2014 we have you covered with a plugin in the chapter <em>Essential WooCommerce Plugins<\/em>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Order Statuses<\/strong><\/h2>\n\n\n\n<p>At checkout, once <strong>your customer chooses to pay immediately with PayPal or debit card <\/strong>\u2014 they will be redirected to the appropriate payment processor. When they submit their payment details with the vendor \u2014 they are sent back to your <em>Thank You page<\/em>.&nbsp;<\/p>\n\n\n\n<p>Along this redirect, a status code passes between the payment processor and your website to update the order status in real-time:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If the payment was successfully processed \u2014 the order status automatically updates to <strong>Processing<\/strong>.&nbsp;<\/li>\n\n\n\n<li>If the payment is undergoing a screening or verification process \u2014 the order status remains as <strong>Pending Payment.<\/strong><\/li>\n\n\n\n<li>If the payment was declined or the payer failed authentication \u2014 the order status changes to <strong>Failed.<\/strong><\/li>\n<\/ul>\n\n\n\n<p>If the status gets to the <strong>Pending Payment<\/strong> or <strong>Failed<\/strong> phase, it\u2019s a good practice to wait 48-72 hours and contact the customer to offer additional assistance on completing their payment.<\/p>\n\n\n\n<p class=\"alert-green\"><strong><em>Note:<\/em><\/strong><em> The scenarios outlined above are prone to exceptions, depending on your chosen payment plugins.<\/em><\/p>\n\n\n\n<p>Here are all the order status codes, their color codes, and the corresponding store mechanics:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Pending Payment<\/strong> \u2013 Gray color<br>The default order status. Applies to new and unpaid orders.<\/li>\n\n\n\n<li><strong>Processing<\/strong> \u2013 Green color<strong><br><\/strong>Payment received and stock reduced, ready for order fulfillment. All orders except virtual and downloadable products require manual processing.<\/li>\n\n\n\n<li><strong>On Hold<\/strong> \u2013 Orange color<strong><br><\/strong>You need to manually confirm the payment and update the order status.<\/li>\n\n\n\n<li><strong>Completed<\/strong> \u2013 Blue color<br>Order fulfilled and completed. Set this final status once you\u2019ve shipped the product.<\/li>\n\n\n\n<li><strong>Canceled<\/strong> \u2013 Gray color<strong><br><\/strong>Order canceled by an admin or the customer. Stock is increased to its original value \u2014 no further action is required.<\/li>\n\n\n\n<li><strong>Refunded<\/strong> \u2013 Gray color<br>Payment refunded by an admin \u2013 stock not increased.<\/li>\n\n\n\n<li><strong>Failed<\/strong> \u2013 Red color<strong><br><\/strong>Payment method declined or the customer failed authentication with their card issuer. May be replaced by <em>Pending Payment<\/em> for some payment processors, such as PayPal.<\/li>\n\n\n\n<li><strong>Authentication Required<\/strong> \u2013 Red color<br>This order status cannot be manually set. It is utilized by some payment processors when the client fails authentication with their card issuer.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Order Notes<\/strong><\/h2>\n\n\n\n<figure class=\"wp-block-image size-full mpg-gallery\"><a href=\"https:\/\/www.scalahosting.com\/blog\/wp-content\/uploads\/2021\/10\/Creating-Orders-in-WooCommerce-17.png\"><img decoding=\"async\" width=\"233\" height=\"262\" src=\"https:\/\/www.scalahosting.com\/blog\/wp-content\/uploads\/2021\/10\/Creating-Orders-in-WooCommerce-17.png\" alt=\"Orders, Order Notes\" class=\"wp-image-62692\"\/><\/a><\/figure>\n\n\n\n<p>Using <strong>Order Notes<\/strong>, you can conveniently:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Message customers directly<\/li>\n\n\n\n<li>Keep track of order fulfillment<\/li>\n\n\n\n<li>Coordinate team members<\/li>\n<\/ul>\n\n\n\n<p>Before clicking the <strong>Add<\/strong> button, you can pick whether the note is saved to the order as a <strong>Private note<\/strong> or sent as a <strong>Note to customer<\/strong>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full mpg-gallery\"><a href=\"https:\/\/www.scalahosting.com\/blog\/wp-content\/uploads\/2021\/10\/Creating-Orders-in-WooCommerce-18.png\"><img decoding=\"async\" width=\"183\" height=\"102\" src=\"https:\/\/www.scalahosting.com\/blog\/wp-content\/uploads\/2021\/10\/Creating-Orders-in-WooCommerce-18.png\" alt=\"Orders, Order Notes 2\" class=\"wp-image-62693\"\/><\/a><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Removing Orders<\/strong><\/h2>\n\n\n\n<p>You can remove orders just as any other post type in WordPress. Still, we recommend you avoid this whenever possible. <strong>Orders are <\/strong><strong><em>proof of transactions<\/em><\/strong><strong> between you and your customers<\/strong>. You can use them to measure your store performance or settle disputes, among other things.<\/p>\n\n\n\n<p>Unless an order is a duplicate of another \u2014 it is best not to remove it.
